OfficewardPlanning a company photo shoot

A clear plan for your company photo shoot.

You should know what will happen before the camera arrives. We agree the photographs, help plan the office day and tell your team how to prepare. After the shoot, one company or agency contact gathers the choices and we finish the agreed files.

1. We work out which photos you need

We look at the website pages, employee count and examples of the style you want. That becomes the shot list for your headshots, groups and office photos.

The quote confirms the image count, location, shooting time, editing, usage and delivery dates.

2. Your office gets ready for the shoot

An office contact reserves the rooms and helps arrange staff appointments. We discuss the portrait look first, so employees know what to wear and where to be.

Building access, setup and breakdown are scheduled separately from the photography.

3. We photograph your people and workplace

At the portrait setup, we guide each employee through their headshot. The agreed group photos and office scenes have their own place in the schedule.

Your office contact helps us find people and get into the rooms we need.

4. You choose the photos to finish

One company or agency contact gathers the selections and checks the names. We edit those final photos.

The kit includes one round of technical revisions. All changes come back in one list.

5. The photos are ready for your website

Each kit final comes with a high-resolution master and two agreed web crops, using your designer’s dimensions and file names.

The finished headshot is also a useful reference for future employee sessions.

Questions about the shoot and delivery

What happens before you arrive at our office?

We agree the portrait reference, shot list, employee count, room and schedule with your company or agency contact. Your team confirms staff appointments and building access. We also set the selection process, final-image count, file requirements and delivery milestones. Equipment setup and breakdown are planned separately from the website kit’s photography hours.

Who chooses the photographs for retouching?

The selection process is agreed before photography. Your project may have employees choosing their portraits, a marketing lead making the decisions or an agency collecting client approval. We need one contact to submit the final choices. The retouched portrait count and additional finished-image count follow the quoted scope.

When will we receive the finished photographs?

Delivery dates are agreed for each assignment. They depend on the shoot date, when you submit image choices, the finishing required and the final file list. Share a website launch or press deadline at the briefing stage so we can plan the milestones. Rush work must be confirmed in the quote rather than assumed.

What happens if a delivered file needs a change?

Each website kit includes one consolidated round of technical revisions. Send file or finishing corrections together through your agreed company or agency contact. New photography, additional selected images and extra exports are checked as changes to the scope. We confirm any additional work before proceeding.

What if an employee misses the office photo day?

Tell the office contact as soon as an appointment needs to move. We check whether the remaining schedule can accommodate that person within the agreed shoot. A separate date requires its own scope. Existing clients may be eligible for the shared new-hire studio session, subject to access and the original portrait setup.
