Plan portraits and company scenes in one website photo day.
Team-page portraits, group photographs and workplace scenes need different people and rooms. Use one schedule built from the website shot list. The example below shows a three-hour Kit 10 photography block, with setup and breakdown reserved separately.
1. Confirm the website images the day must produce.
Confirm the portrait grid and the wider page images on the website shot list. Name every group’s participants and each scene’s room, activity and final placement.
Give the photographer the website launch date and designer’s file deadline before confirming the work. Image selections and editing need their own milestones after the shoot.
2. Check the rooms and the route into the building.
Send photos and dimensions of the portrait room, with available power and furniture. Review loading, elevators, visitor access and vendor paperwork with the building contact.
Reserve the room for the agreed setup time, photography block and breakdown. Kit 10 allows up to three photography hours and Kit 20 up to five. Setup and breakdown sit outside those hours.
3. Put portrait, group and scene availability on one roster.
Use names that match the website profiles. Mark portrait appointments, group participation, workplace-scene participants and fixed meetings or known absences.
An office contact stays available during the shoot to locate people and arrange room access. Give participating employees a way to flag a scheduling conflict before the day.
- Employee name and profile reference
- Portrait, group and workplace-scene participation
- Fixed meetings or absences
- Office contact and approved room
5. Prepare each scene before its slot.
Clear confidential material from the agreed views, including documents, screens and boards. Your company contact identifies what is sensitive and which areas are restricted.
Arrange the people and suitable materials for each website scene before its slot. Check meetings, visitors and room bookings alongside the portrait roster so the shooting order can hold.
6. Give selections and corrections a deadline.
The nominated company or agency contact submits selections, checks names and returns one consolidated technical revision list. Selection and delivery dates belong in the quote.
At delivery, check the finished-image count, file names and agreed crops against the shot list. Store masters separately from the website versions.
Planning example: one mixed Kit 10 website shoot.
This illustrative schedule combines ten employee portraits with the twelve company images in the filled shot-list example. It is a planning example, not a client case or throughput promise. The actual schedule depends on the people, setup and rooms. Its three-hour block is photography time; setup and breakdown are separate.
Before 9:30, reserve the confirmed access and setup period. After 12:30, leave the agreed breakdown period clear. We confirm those timings for the actual assignment before the room is booked.
- 9:30–10:50: ten individual portrait appointments. The example allocates eight minutes per person; the real schedule is agreed for the assignment.
- 10:50–11:10: full team and smaller leadership groups, with participants ready together.
- 11:10–11:40: two leadership portraits and the two planned homepage views.
- 11:40–12:20: three working scenes and three selected office or detail views.
- 12:20–12:30: check the required shot list and use the remaining time for an agreed priority.
A website-shoot preparation note to adapt.
Your portrait appointment is on the shared roster. Come to the agreed room a few minutes before your time. Wear clothing that fits your role and the portrait reference we shared. Bring the jacket or extra outfit noted in your appointment.
The photographer will guide your posture and expression. Your portrait is intended for the company website. Check the roster for any group or working scene you are joining. Your office contact explains image selection and other agreed uses. Tell that contact about scheduling conflicts before the photo day.
Scheduling portraits and company scenes together
What should employees know about their part in the website shoot?
Send the portrait reference, room and appointment, plus any group or workplace-scene times. Explain the intended website placements and how selections will be approved. Clothing should suit the role and company. Name the office contact who collects scheduling conflicts before the mixed shoot.
